When you use Techspace International services, you trust us with your information. This Privacy Policy is meant to help you understand what data we collect, why we collect it and what we do with it. This is important; we hope you will take time to read it carefully. We are committed to making sure your personal data stays safe and secure. Our privacy promise covers how we treat your data and your rights to access, update or have it deleted. It’s based on the principles of the General Data Protection Act 2018.

Techspace International is committed to protecting your personal information when you are using Techspace International services. This Privacy and Cookies Policy relates to our use of any personal information we collect from you via the following online services:

  • Any Techspace International website that links to this Privacy and Cookies Policy;
  • Social media or official Techspace International content on other websites;
  • Mobile device Applications (“Apps”);

Techspace International is committed to safeguarding your personal information. Whenever you provide such information, we are legally obliged to use your information in line with all applicable laws concerning the protection of personal information, including the Data Protection Act 2018 (these laws are referred to collectively in this Privacy and Cookies Policy as the “data protection laws”). No website can be completely secure; if you have any concerns that your Techspace International account could have been compromised e.g. someone could have discovered your password, please get in touch straight away.

Techspace International websites contain hyperlinks to websites owned and operated by third parties. This Privacy and Cookies Policy applies to Techspace International’s activities in relation to the collection and use of data through our corporate website and is governed by the Techspace International Privacy Policy.

When we say “we”, “our”, or “Techspace International”, we mean Techspace International.

a. Our obligations regarding your personal data

As both a Controller and Processor of your data, our obligation is to ensure that your personal information is handled lawfully, fairly, and transparently, with appropriate security measures in place. Processing includes ensuring the confidentiality, availability, integrity, and protection of data, as well as the systems and networks where it resides.

Our security framework follows industry best practices, and we are committed to protecting Techspace International and our clients from unauthorised access, alteration, disclosure, or destruction of information. In particular:

  • We encrypt many of our services using SSL.

  • We regularly review our data collection, storage, and processing practices, including physical safeguards, to protect against unauthorised system access.

  • We limit access to personal information strictly to Techspace International employees, contractors, and authorised agents who need that information to process it on our behalf. All are bound by strict confidentiality agreements and face disciplinary action or contract termination if these obligations are breached.

b. Your responsibilities regarding personal data

When you register for Techspace International services, you may be asked to provide and manage certain personal details. To keep your data safe, we recommend:

  • Keeping your passwords confidential and never sharing them.

  • Using strong, unique passwords for your accounts.

  • Creating passwords from memorable phrases. For example, “I want to see the Pacific Ocean” could be turned into 1W2CtPO by using the first letters and substituting numbers creatively.

a. From the Techspace International Website

We collect two types of information from our website: information that you voluntarily provide to us and information that we collect automatically when you interact with our site.

The Techspace International website does not automatically capture or store any personal data about individuals who access it, except where visitors voluntarily choose to provide personal details by email, through online forms, live chat, demo requests, or service enquiries.

Our website uses a chat platform that connects users directly with our support team. When a user initiates a chat, we may collect personal details such as name, email address, and phone number — always with the user’s consent. The messages and related data are securely stored by our chat platform partner, who processes the information in accordance with the General Data Protection Regulation (GDPR). The data is used solely to deliver support services, respond to queries, and resolve issues.

b. Applications for Employment via the Website

When applying for a role at Techspace International through our website, you will be asked to provide personal details such as your first name, surname, date and month of birth, mobile number, and email address. You will also be required to upload your most up-to-date CV (PDF format is preferred). This information is used strictly for recruitment purposes, to assess and process your application.

c. Information Provided When Creating an Account

Some of our services (excluding employment applications) require you to sign up for a Techspace International Account. When creating an account, we will request details such as your name, email address, and phone number.

Techspace International may occasionally contact you by email with updates about new features, service enhancements, or to request feedback. We aim to keep such communications minimal and relevant. For general updates, we primarily use our blogs and product pages.

If you contact us via support channels or feedback forms, we may publish anonymised requests to clarify or respond more effectively, or to help other users with similar queries.

d. Location Information

When you use Techspace International services, we may collect and process data about your actual location. This may be determined through technologies such as IP address, GPS, Wi-Fi access points, and mobile towers.

e. Local Storage

We may collect and store information (including personal data) locally on your device using technologies such as browser storage (including HTML5) and application data caches.

f. Cookies and Similar Technologies

We use a variety of technologies to collect and store information when you visit the Techspace International website, customer portal, or mobile application. This may include the use of cookies and similar technologies to identify your browser or device and capture the types of information outlined in Section 3 of this policy. These technologies allow us to collect and store data when you interact with our services.

In addition, Techspace International may record and monitor inbound and outbound calls, as well as electronic communications, for quality assurance, training, and compliance purposes.

We may also collect telephony log information such as your phone number, the number you are calling, forwarding numbers, the time and date of calls, call duration, and call types.

Our website employs SSL (Secure Socket Layer) encryption across all secure areas, including login pages, customer accounts, and payment transactions. Provided that you are using an SSL-compliant browser such as Google Chrome, Microsoft Edge, Opera, Firefox, or Safari, you can complete encrypted transactions without the risk of third parties intercepting your private information.

To further safeguard our systems, we use application firewall software to protect our website applications from potential threats.

We are committed to protecting Techspace International and our users from unauthorised access, alteration, disclosure, or destruction of the information we hold. In particular:

  • Two-Factor Authentication (2FA): We provide 2FA options when accessing your Techspace International Account.

  • Restricted Access: Access to personal data is strictly limited to Techspace International employees, contractors, and authorised agents who require it to perform their duties. All are bound by strict confidentiality obligations and face disciplinary action or termination for any breach.

a. Providing Services and Features

Techspace International will use the information we collect to deliver, personalise, maintain, and enhance our services. Specifically, we may use your data to:

  • Provide the services, activities, and features you request, and respond to your enquiries.

  • Manage “service administration” tasks, such as contacting you about your account, sending password reminders, notifying you of service outages, alerting you about updates to our Privacy Policy or Terms of Use, and letting you know if your account is at risk of becoming inactive.

  • Send you email newsletters if you are signed in or subscribed. You can unsubscribe at any time if you no longer wish to receive them.

  • Use IP addresses and device identifiers to identify user location, prevent disruptive or fraudulent activity, analyse site traffic (such as visits from different countries), and determine how our services are accessed.

  • Collect and store information you provide during job applications (e.g., name, date of birth, mobile number, email, and CV content) for recruitment and pre-employment assessment purposes. We do not share this data outside Techspace International.

  • Ensure that our website content works effectively in widely used browsers and identify any technical issues by analysing browser and operating system data.

  • Protect Techspace International, our systems, and our users by detecting and preventing unauthorised use or abuse.

  • Support the development of new services, improvements, and security features.

b. Customer Support

Techspace International will only send you emails or otherwise contact you for marketing purposes, or to promote new services and activities where you have agreed to this. Where you have agreed to receive these communications, we may personalise the content of these messages based on any information you have provided to us and your use of the Techspace International portal.

We will keep your information within Techspace International except where disclosure is required or permitted by law (for example to government bodies and law enforcement agencies)

Techspace International may use trusted third parties to process your information on our behalf. For example, we may use specialist companies to provide services, analysis, pre-employment checks, references, and Disclosure & Barring Service (DBS) checks. Techspace International requires these third parties to comply strictly with our instructions, and we require that they do not use your personal information for their own business purposes unless you have explicitly consented. We may also share your personal information internally (i.e., with other Techspace International divisions) — for example, when considering your employment application.

a. Do you share my data with other organisations?

We keep your data inside Techspace International and use it to provide services or improve your experience. This means we only share it:

  • When you ask us to or give us your permission

  • To deliver a service you’ve requested (for example, we may use specialist companies to provide services on our behalf, such as sending email newsletters)

  • To provide content and services to you through a partner’s platform

  • For regulatory or legal purposes

b. When we share your data outside Techspace International

We will:

  • Always share it securely

  • Ensure it is treated consistently with our privacy standards

  • Not allow other companies to use it for their own marketing purposes

c. When we share your data within Techspace International

We may share your data across Techspace International divisions for research, analysis, or marketing purposes, always in line with this Privacy Policy.

d. Who else can see how I’ve been using the site?

Only authorised Techspace International personnel can view the personal data you provide to us.

If you create, post, or send offensive, inappropriate, or objectionable content anywhere on or to the Techspace International websites, or otherwise engage in disruptive behaviour on any Techspace International service, Techspace International may use your personal information to help prevent or stop such behaviour. Where Techspace International reasonably believes that you are or may be in breach of any applicable laws (for example, if content you have posted may be defamatory), Techspace International may use your personal information to inform relevant third parties — such as your employer, internet provider, or law enforcement agencies — about the content and your behaviour.

We will keep your information collected from the website for pre-employment assessment purposes for up to 6 months from the point of your application if your pre-employment application is declined. After 12 months, your file will be permanently deleted. If your application is successful, Techspace International will store your information for the period required by employment law.

In addition, we retain certain data in line with contractual or regulatory requirements, but never for longer than 10 years.

You can request that your data be amended or deleted.

We may contact you from time to time to verify and update the data we hold on your records. You may also contact us at any time to request that we update or delete your personal information.

In addition to the information described earlier, for employment purposes, we collect and retain the information you provide when applying for a position with Techspace International. This may include your first name, surname, date of birth, mobile number, email address, and the content of any CV or supporting documents you upload.

We use this information solely for pre-employment assessment purposes and do not share it with external companies or organisations.

Accessing and Updating Your Personal Information

Techspace International aims to provide you with access to your personal information. If your information is incorrect, we will provide ways to update it promptly or to request its deletion, unless we are legally or contractually obliged to retain it. To ensure security, we may ask you to verify your identity before processing your request.

We may decline requests that are:

  • Unreasonably repetitive

  • Require disproportionate technical effort (e.g., developing new systems or significantly altering existing processes)

  • Risk the privacy of other individuals

  • Extremely impractical (e.g., information stored on backup systems)

Where access or correction is feasible, we will provide it free of charge, unless doing so would require disproportionate effort. We maintain our services to protect against accidental or malicious destruction. Therefore, after information is deleted from our services, residual copies may remain temporarily on active servers or in backup systems.

Your Rights Under UK Data Protection Law

Under the UK Data Protection Act 2018, you have the right to:

  • Request a copy of the personal information Techspace International holds about you

  • Request correction of any inaccuracies in your personal information

We will make reasonable efforts, consistent with legal obligations, to provide, correct, or delete your personal data as requested.

If there is a cost associated with your request, payment can be made via cheque to Techspace International. You may also need to provide two forms of identification, which can include:

  • Passport

  • Driving licence

  • Birth certificate

  • Utility bill (from the last three months)

  • Current vehicle registration document

  • Bank statement (from the last three months)

  • Rent book (from the last three months)

When you download or use Techspace International apps on your mobile device, or access Techspace International information through your device, certain data may be stored on or accessed from your device. Often, this functions similarly to a web browser cookie, for example, by enabling the app to “remember” you or provide the requested service.

Your device or web browser may also provide Techspace International with information about your device, such as device identifiers or IP address. Device identifiers may be collected automatically and can include the device ID, IP address, MAC address, IMEI number, and app ID (a unique identifier for the specific copy of the app you are running).

If you have concerns about the information that may be accessed or stored on your device by Techspace International, you may prefer to use the service through a web browser instead of the app.

This Privacy and Cookies Policy may be updated from time to time, so you may wish to review it each time you submit personal information to Techspace International. The date of the most recent revisions will appear on this page. Scope of this Privacy Policy

This Privacy Policy applies only to Techspace International websites and services. Links within our website to external websites are not covered by this policy, and responsibility for privacy practices on those sites remains with their respective owners.

Application Data Cache

An application data cache is a data repository on a device. It can, for example, allow a web or mobile application to run without an Internet connection and improve performance by enabling faster loading of content.

Browser Web Storage

Browser web storage allows websites to store data in a browser on a device. When used in “local storage” mode, it enables data to persist across sessions (for example, so data remains accessible even after the browser is closed and reopened).

Device

A device is a computer or mobile device used to access Techspace International services, such as a desktop, tablet, or smartphone.

What is a Cookie?

A cookie is a small data file, often including a unique identifier, sent to your device’s web browser from a website’s server and stored on your device. Cookies help websites track visits, personalise your experience, and understand traffic flows. Similar technologies are often used in emails to track opens or link clicks. SSL (Secure Sockets Layer)

SSL is the standard security technology for establishing an encrypted link between a web server and a browser. This link ensures that all data transmitted remains private and secure.

To create an SSL connection, a web server requires an SSL Certificate, which involves generating a Private Key and a Public Key. The Public Key is included in a Certificate Signing Request (CSR) submitted to a Certification Authority, which validates the details and issues the SSL Certificate. The server matches the certificate to its Private Key to establish an encrypted link with the browser.

The complexities of SSL remain invisible to users, who see a lock icon in the browser indicating a secure session. SSL Certificates contain details such as domain name, company name, address, and expiration date, and are issued by trusted Certification Authorities.

Affiliates

An affiliate is an entity that belongs to the Techspace International group of companies.

HTTP Referrer

An HTTP Referrer is information transmitted to a destination web page by a web browser, typically when a link is clicked. It contains the URL of the last visited web page.

IP Address

Every device connected to the Internet is assigned an IP address, which can sometimes indicate the geographic location of the device.

Non-Personally Identifiable Information

This is information recorded about users that does not identify them individually.

Personal Information

Personal information is any information that personally identifies you, such as your name, email address, billing information, or other data reasonably linked to your identity or Techspace International account.

Pixel Tag

A pixel tag is a technology placed on websites or emails to track activity, such as when a page is visited or an email is opened. Pixel tags are often used alongside cookies.

Sensitive Categories

An advertising category may be sensitive if it relates to topics such as race, religion, sexual orientation, or health. Techspace International does not associate identifiers from cookies or similar technologies with sensitive categories.

Sensitive Personal Information

Sensitive personal information refers to data relating to confidential medical facts, racial or ethnic origins, political or religious beliefs, or sexuality.

Server Logs

Like most websites, Techspace International servers automatically record server logs when you visit our sites. These logs typically include web requests, IP address, browser type, language, date and time, and any cookies that uniquely identify your browser.

Unique Device Identifier

A unique device identifier (UUID) is a string incorporated into a device by its manufacturer to uniquely identify it (e.g., IMEI for a mobile phone). Device identifiers may be used for security, fraud detection, syncing services, remembering preferences, and providing relevant advertising.

Do Not Track (DNT) Browser Setting

DNT is a browser feature that sends a signal requesting websites not to track your browsing activity. The Techspace International website does not currently respond to DNT signals.

PING

A PING is a message, typically 160 characters long, sent via Techspace International applications to users. This message can be sent through any or all communication channels used by your organisation.
